1. Segment before you send anything
Blasting your entire lapsed list with the same message is a fast way to get ignored. Before you write a single word, split your list into at least two buckets:
- 6–12 months overdue — these patients are warm. A simple "we miss you" nudge usually works.
- 12+ months overdue — they need a stronger hook: a sense of urgency, a clear reason to act now, or both.

2. Lead with a personal, low-pressure message

Short. Human. Zero clinical jargon. That tone converts. If you're sending via WhatsApp or SMS, keep it under 160 characters or it starts to feel like spam.
3. Follow up exactly once more — then stop
Most practices either follow up zero times or five times. Both are wrong. One well-timed follow-up, sent 5–7 days after the first message if there's no reply, is almost always enough to catch the people who were just busy.
Your follow-up can be even shorter:
"Hey [Name], just wanted to bump this up in case you missed it. Happy to grab you a spot — just say the word."
After that second touch, move them to a "re-engage in 3 months" list and stop. Pestering patients who aren't ready creates bad feelings and unsubscribes. Patience is a reactivation strategy.
4. Make booking frictionless the moment they reply
Here's where most practices lose the patient again: someone replies "yes, I'd love to come in" and then waits 6 hours for a callback that goes to voicemail. The moment passes, momentum dies.
Set yourself up so that a reply triggers an immediate response with available times — even if it's just two or three specific slots. Giving people choices removes the back-and-forth. If you can offer a direct booking link in that same message, even better. The goal is to get from "yes" to confirmed appointment in under two messages.
5. Use a small incentive for the hardest-to-reach patients
For patients who are 18+ months overdue and haven't responded to a warm message, sometimes a tangible nudge moves the needle. This doesn't have to be a discount — that can cheapen the relationship.
Consider instead:
- A complimentary fluoride treatment added to their next visit
- Priority scheduling (morning slots, shorter waits)
- A "welcome back" check-in call from the dentist personally — surprisingly powerful for long-time patients
