The fastest way to reactivate lapsed recall patients

Turn your overdue recall list into booked appointments — without chasing patients one by one.

Every dental practice has the same quiet problem: a list of patients who were due for their 6-month checkup, got busy, skipped it, and then never rebooked. Six months became a year. A year became two. They still like you — they just drifted.

The good news is that lapsed recall patients are your warmest possible leads. They already trust you. They just need the right nudge, at the right moment, in the right channel. Here's how to get them back fast.

1. Pull your overdue list and segment it by gap size

Before you message anyone, know who you're talking to. Most practice management software (Dentrix, Eaglesoft, Curve, etc.) can export a recall report filtered by last visit date. Split it into at least two buckets:

  • 6–18 months overdue — these patients just need a gentle reminder; they're probably embarrassed they let it slip.
  • 18+ months overdue — these need a slightly warmer, more personal message that acknowledges the gap without making them feel guilty.

Segmenting this way means your messages feel human rather than automated. A patient who missed one appointment doesn't want to receive the same message as someone who hasn't been in since before a pandemic.

2. Lead with a text or WhatsApp message, not an email

Emails get buried. A short, friendly text or WhatsApp message gets read within minutes. Keep it simple and personal-sounding:

"Hi [Name], it's the team at [Practice]. We noticed it's been a while since your last visit — we'd love to get you back in for a quick checkup. Want me to grab you a time that works?"

That's it. No discounts, no urgency tactics, no wall of text. The goal is a reply, not a conversion. Once they reply, your front desk — or your AI — can handle the back-and-forth to lock in a slot.

One practical tip: send during mid-morning on a Tuesday, Wednesday, or Thursday. Open and response rates are noticeably higher then than on Monday mornings or Friday afternoons.

3. Follow up exactly once if they don't respond

If a patient doesn't reply within 5–7 days, send one follow-up. Just one. Something like:

"Hey [Name], just checking in on my last message — happy to find a time that works around your schedule. No pressure at all!"

After that, move on. Patients who don't respond to two messages in a row either aren't ready yet or have moved to another practice. Pestering them damages the relationship. Flag them for a check-in again in 3–6 months and focus your energy on the people who engage.

4. Make rebooking frictionless the moment they say yes

The single biggest drop-off point in reactivation is the gap between "yes I'd like to come in" and an actual confirmed appointment. If your response time is slow, or if you make the patient do work (fill out a form, call during office hours, navigate an online portal), you'll lose them again.

Have a short list of 3–5 available slots ready to paste into the conversation the moment someone engages. Offer options, not open-ended questions. "Does Tuesday the 15th at 10am or Thursday the 17th at 2pm work?" converts far better than "What days are you usually free?"

If a patient needs updated health history forms before their visit, send the link immediately in the same message thread — don't make it a separate step.

5. Add a personal touch for your highest-value lapsed patients

For patients who haven't been in for 2+ years but had a strong relationship with your practice — multiple family members, big treatment histories, regular referrers — a phone call from the dentist or practice owner goes a long way. It doesn't have to be long:

"Hi [Name], this is Dr. [Name]. I noticed it's been a while and just wanted to personally check in. We'd love to see you and your family back — is there anything that's kept you away we could help with?"

This kind of call takes two minutes and routinely reactivates patients that no automated message would reach. Reserve it for 10–20 patients per month where the relationship warrants it.

Running a recall reactivation campaign takes real time — pulling lists, writing messages, following up, managing replies, booking slots. It's exactly the kind of operational work you can hand off to a Sidekyk. Send a WhatsApp message to your Sidekyk with your overdue list and the tone you want, and it'll draft your outreach messages, handle the follow-up flow, and flag warm replies for your front desk to close.
