You put real money into getting people to find your practice — Google ads, a decent website, maybe a listing on a dental directory. This is one of the most common (and most fixable) leaks in a dental practice. The window between first inquiry and confirmed appointment is where you lose patients — not to bad reviews, not to price, but to silence and friction. Here's how to plug it.
1. Reply in under 5 minutes — every single time
This one feels obvious, but almost no practice actually does it. Studies on lead response consistently show that replying within 5 minutes makes a person 10x more likely to convert than replying within an hour. A new patient inquiry isn't a voicemail to return when you get a moment — it's a hot lead that goes cold fast.
The reply doesn't need to be elaborate. A quick "Hi [Name], thanks for reaching out to [Practice Name]! We'd love to help. Are you looking to book as soon as possible, or is there a day of the week that works best for you?" is enough to keep the conversation alive. The goal is to make the patient feel seen before someone else does.
2. Send a confirmation message the moment they book
Once a patient picks a slot, most practices send one automated confirmation email and call it done. That's not enough. Send an immediate WhatsApp message (or SMS) that:
- Confirms the date, time, and address
- Tells them what to bring (ID, insurance card, any relevant X-rays)
- Gives them a direct number to reach you if anything changes
This does two things: it makes the appointment feel real and official, and it removes every excuse to no-show because they "didn't know where to go" or "weren't sure what to bring."
3. Run a 48-hour and a 2-hour reminder
A single reminder the day before isn't enough — life gets in the way and people forget. The sequence that actually works:
- 48 hours out: A friendly reminder with the appointment details and a one-tap option to confirm or reschedule.
- 2 hours out: A short, warm nudge — "Just a reminder, we'll see you at 2 PM today at [address]. See you soon!"
The 2-hour message is the one most practices skip. It's also the one that catches the patient who was genuinely about to forget and would have simply not shown up. Reschedules are fine — no-shows are what kill your schedule.
4. Make it stupid easy to reschedule
One of the hidden reasons patients ghost is that rescheduling feels awkward or hard. They don't want to call during business hours, sit on hold, and explain themselves. So they just don't come, and they don't come back.
Fix this by explicitly telling patients in every reminder message that rescheduling is easy and no big deal. Include a direct link or say "Just reply to this message and we'll sort it out." When rescheduling is frictionless, patients stay in your pipeline instead of disappearing from it.
5. Follow up once if they go quiet
If a new patient inquired but never booked, or booked and then went dark, send one follow-up — not three, not five, just one. Something like: "Hi [Name], we noticed we hadn't heard back from you. We still have availability this week if you'd like to come in. No pressure at all — just wanted to make sure you're taken care of."
Warm, zero guilt, one message. A surprising number of people will book from this touchpoint alone. They were interested, something got in the way, and your follow-up arrived at exactly the right moment. If they don't reply to the follow-up, let it go — chasing people damages your reputation and their experience.
