How to answer 'how much does it cost?' without losing the lead

Dental patients ask about price before they're ready to book — here's how to respond without scaring them off.

Someone messages your practice on WhatsApp: "Hi, how much is a teeth whitening?" You've seen this a hundred times. You know that if you reply with a number too fast, they ghost. If you dodge the question, they ghost anyway. There's a narrow path in the middle — and most dental practices miss it.

The good news is that a well-crafted response sequence can warm that lead up, set realistic expectations, and get them booked — all without a single phone call. Here's how.

1. Acknowledge first, price second

Nobody likes feeling ignored or sold to. Before you say anything about money, show the patient that a real person (or a helpful assistant) actually read their message.

A response like "Great question — whitening is one of our most popular treatments!" takes three seconds to write and immediately lowers the person's guard. It signals that they're talking to a practice that cares, not a bot spitting out a rate card. Only then do you transition into the pricing conversation.

2. Give a range, not a single number

Quoting one flat price is almost always the wrong move. If it sounds high, the lead leaves. If it sounds low and the actual cost is higher, you've created distrust before they even sit in the chair.

Instead, give an honest range and explain briefly why it varies:

  • "Whitening with us typically runs between R1,800 and R3,200, depending on the shade you're going for and whether we're doing in-chair or take-home."
  • "A single implant can range from R15,000 to R22,000 — the variation usually comes down to the bone work needed, which we can only assess in person."

A range feels transparent, not evasive. It also plants the seed for an in-person consultation without demanding one.

3. Immediately name what's included

Price anxiety is almost always about value uncertainty. Patients don't know what they're comparing when they shop around. Help them understand what's actually in your number.

Right after the range, add a short list:

  • "That includes your initial assessment, the treatment itself, and a follow-up check two weeks later."
  • "We also handle all the medical aid paperwork on your behalf."

Even two or three bullet points shift the conversation from "is this cheap or expensive?" to "is this worth it?" — which is the right question for you to be answering.

4. Handle the medical aid question proactively

At least half the people who ask about cost are really asking "will my medical aid cover this?" If you wait for them to ask that follow-up, you've already lost momentum in the conversation.

Get ahead of it: "If you're on medical aid, it's worth checking your benefits — some plans cover part of the cost. Drop your scheme name here and we can give you a rough idea before you even come in." That one line turns a passive price inquiry into an active two-way conversation. It also positions your practice as genuinely helpful rather than just transactional.

5. End every price message with a low-friction next step

The moment a patient has price information, they're making a decision. Your job is to make the "yes" path as easy as possible. Don't leave them hanging with just a number.

Close your message with something light:

  • "Want me to check availability for a quick 20-minute consult this week?"
  • "I can send you a breakdown of what your first visit would look like — would that help?"

Avoid "book now" language this early. A consultation offer or an information offer feels like help, not pressure. That distinction matters enormously when someone is still in research mode.

Fielding price questions well — consistently, at any hour, without sounding robotic — is exactly the kind of task that eats your front desk's time and energy. A Sidekyk can handle the entire sequence on WhatsApp for you: acknowledge, quote a range, explain inclusions, surface the medical aid question, and nudge toward a consult — all while you're in the chair with a patient.
