Reactivate lapsed dental patients in record time
Five proven tactics to bring patients back who haven't booked in 12+ months — without awkward cold calls.
Every dental practice has a graveyard in its patient database. People who came in once or twice, life got busy, and suddenly 14 months have passed. They're not gone — they're just waiting for a nudge.
The good news: lapsed patients are far easier to convert than brand-new ones. They already trust you. They just need a reason to come back, delivered the right way, at the right time. Here's how to make that happen fast.
1. Segment before you send anything
Blasting every inactive patient with the same generic "We miss you!" message is a wasted effort. Before you reach out, split your list into at least two groups:
- 12–18 months lapsed — still warm. A simple reminder often does the trick.
- 18+ months lapsed — needs a stronger hook, like a specific offer or a new service they haven't heard about.
Pull this data from your practice management software (Dentrix, Eaglesoft, Curve — they all have inactive patient reports). Knowing who you're talking to lets you write messages that actually land.
2. Lead with a personal, low-pressure text or WhatsApp message
Phone calls feel intrusive in 2025. Emails get buried. A short, friendly text message — especially one that sounds like it came from a real person — gets read within minutes. Keep it simple:
"Hi [Name], it's the team at Bright Smile Dental. We noticed it's been a while since your last visit and wanted to check in. We have a few openings this month if you'd like to get your check-up sorted — no pressure at all. Want us to find a time that works for you?"
That's it. No hard sell. No guilt. Just a human-sounding message that opens a door. Aim for Tuesday–Thursday mornings — response rates are noticeably better mid-week.
3. Make it stupid easy to book
The biggest killer of reactivation campaigns isn't the message — it's what happens after. A patient says "yes, I'm interested" and then hits a wall: a phone number to call during office hours, a website form that doesn't work on mobile, or worse, nothing at all.
Give them one tap to act:
- A direct booking link (Zocdoc, NexHealth, or your own scheduler)
- A reply-to-text option so they can just text back a day and time
- Or a simple "reply YES and we'll call you to confirm"
The fewer steps between "I'm interested" and "I'm booked," the higher your conversion rate. Every extra click costs you a patient.
4. Follow up once — and make it different
If someone doesn't respond to your first message, send one follow-up about 5–7 days later. The key is to change the angle, not just repeat yourself. If your first message was a warm check-in, make the second one practical:
"Just a quick note — we have a Tuesday at 10am and a Thursday at 2pm open this week. Either of those any good for you? Happy to hold one if so."
Specificity works. "We have openings" is vague. "Tuesday at 10am" feels real and creates a small sense of urgency. After two messages with no reply, stop — you don't want to annoy people off your list permanently.
5. Sweeten the return for your hardest-to-reach patients
For patients who've been gone 18 months or more, a small incentive can tip the balance. You don't need a deep discount — something modest works well:
- A complimentary fluoride treatment with their check-up
- A free whitening consultation
- A waived cancellation fee if they're nervous about committing
Frame it as a welcome-back gesture, not a desperation move. Something like: "As a thank-you for coming back, we'd love to include a complimentary fluoride treatment at your visit." That framing feels generous, not salesy.
Track which incentive converts best over a few campaigns, and double down on what works for your specific patient base.
Running a reactivation campaign sounds simple on paper, but the execution — writing the messages, segmenting the list, timing the follow-ups, handling replies — eats up hours you probably don't have. That's exactly the kind of work you can hand off to a Sidekyk. Just send a WhatsApp message describing your patient list and what you want to say, and your Sidekyk handles the drafting, sequencing, and follow-up tracking for you. Head to sidekyk.ai to see how it works.
