4. Offer a small incentive for same-day bookings
Sometimes a nudge helps. A modest, clearly communicated incentive β a complimentary whitening top-up, a free electric toothbrush head, or even just priority booking for their next appointment β can turn a "maybe" into a confirmed booking within minutes.
You don't need to discount your fees. Value-adds work just as well and protect your pricing. Keep the offer consistent so your team can mention it without having to check with you first.
5. Follow up on patients who are already overdue
Every practice has a list of patients who are three, six, or even twelve months past their recall date. A cancellation is actually the perfect moment to reach out to them β you have a real, specific slot to offer, which makes the message feel helpful rather than generic.
A short message like "Hi [Name], it's been a while! We've had an unexpected opening on Thursday at 10 am β would you like to come in for your check-up?" converts far better than a bulk recall reminder, because it's timely and personal. Even if they can't make that slot, it often restarts the conversation.
