The 3-sentence rebooking message that fills your chair

One short WhatsApp or text message can turn a slow week into a fully booked one — here's how to write it.

A slow week sneaks up on you. Monday looks fine, then Tuesday has a cancellation, Wednesday never filled, and suddenly you're staring at three empty chairs on Thursday morning wondering what happened.

The fix is almost always the same: reach out to past clients before the week goes sideways. Most salon owners don't do it because writing that message feels awkward — too salesy, too desperate, too something. Here are five tactics to make it feel none of those things.

1. Lead with their name and their last service

Generic blasts get ignored. Specific messages get read. Start with the client's name and reference what they actually had done last time.

"Hey Maria — it's been about 6 weeks since your balayage. Roots are probably calling your name right now 😄"

That one sentence does a lot of work. It shows you remember them, it's timely, and it plants a visual they can relate to. You haven't asked for anything yet.

2. Make the offer feel exclusive, not desperate

The second sentence is your offer — but frame it as something for them, not a plea to save your schedule.

"I have a couple of openings this week if you'd like to come in and get it sorted."

Notice what's missing: no "BOOK NOW," no discount, no explanation of how slow things are. "A couple of openings" sounds intentional. You're giving them a chance, not begging for one.

3. End with one easy action

The third sentence removes all friction. Tell them exactly what to do next — and make it one tap away.

"Reply here and I'll grab you a time."

That's it. No link to a booking page they have to navigate. No form. Just a conversation. Clients who are on the fence will reply to a human message far more often than they'll click through a booking portal cold.

Putting all three sentences together:

"Hey Maria — it's been about 6 weeks since your balayage. Roots are probably calling your name right now 😄 I have a couple of openings this week if you'd like to come in and get it sorted. Reply here and I'll grab you a time."

That's it. Three sentences. Under 45 words.

4. Send it to the right list, not everyone

Don't blast every contact you have. Pull clients who:

  • Had a service 6–10 weeks ago (prime rebooking window for most colour and cut clients)
  • Haven't rebooked yet
  • Have visited at least twice before (they already trust you)

A targeted message to 15 warm clients will outperform a mass text to 200 cold ones every time. Responses feel like conversations, not campaigns.

5. Time it right — Tuesday or Wednesday morning

Friday afternoon messages get lost in weekend noise. Monday feels rushed. The sweet spot is Tuesday or Wednesday before noon — clients are settled into the week, they know what their schedule looks like, and they haven't yet made plans for the weekend.

If you're trying to fill this week, send it Tuesday morning. If next week is looking thin, Wednesday gives you enough lead time to get a few bookings locked in without the pressure of a 24-hour window.

One last thing: don't overthink the tone. Read it out loud. If it sounds like something you'd say to a regular client you bumped into at the supermarket, it's right. If it sounds like a marketing email, rewrite it.

Pulling together a client list, personalising each message, and sending them out at the right time is genuinely tedious — especially when you're also trying to run a full day of appointments. That's exactly the kind of task you can hand off to your Sidekyk. Just message your Sidekyk on WhatsApp — tell it which clients to reach out to and what the offer is — and it'll draft and send personalised rebooking messages on your behalf, then flag the replies so you can confirm the bookings. Slow weeks don't have to catch you off guard. Get started at sidekyk.ai.
