Cut no-shows in half with a WhatsApp reminder sequence
A simple 3-message sequence sent over WhatsApp can slash empty chairs and protect your revenue.
An empty chair at 2 p.m. on a Tuesday isn't just annoying β it's money you already spent on staff, product, and overhead with nothing to show for it. Most salons lose between 10β20% of booked appointments to no-shows and last-minute cancellations, and the usual fix (hoping clients remember) clearly isn't working.
The good news: a short, friendly WhatsApp reminder sequence costs you almost nothing to run and can cut no-shows dramatically. Here's exactly how to build one.
1. Send a confirmation the moment they book
The first message goes out immediately after the appointment is made β not a day later, right now. Clients are still thinking about the booking, so this is the easiest moment to lock in the details and get a confirmed "yes."
Keep it short and human:
"Hey [Name]! You're booked in with us on Thursday 14 Aug at 3 pm for a cut & colour with Sarah. Reply YES to confirm or let us know if you need to change anything. See you then! πββοΈ"
Ask for a reply. A client who types "YES" has made a tiny commitment β they're far less likely to ghost you.
2. Send a 48-hour reminder with an easy reschedule option
Two days out is the sweet spot for a second nudge. Life has happened since they booked, and this message gives them a low-friction way to move the appointment rather than just disappearing on you.
"Hi [Name], just a reminder you're in with us on Thursday at 3 pm. Can't make it? No stress β reply here and we'll find you another time. Otherwise, we'll see you soon! βοΈ"
The key phrase is "no stress." You want clients to reschedule, not no-show out of awkwardness. Every reschedule is revenue saved; every no-show is revenue gone.
3. Send a same-day check-in that morning
A quick message on the day of the appointment catches the people who genuinely forgot. Keep it warm and brief β this isn't a chase, it's a friendly wave:
"Morning [Name]! Looking forward to seeing you today at 3 pm. If anything's come up, just drop us a message and we'll sort it. See you this afternoon! π"
This message alone recovers a surprising number of appointments. People open WhatsApp first thing in the morning, and a gentle reminder is often all they need to either confirm they're coming or flag that they can't.
4. Add a cancellation policy reminder to the confirmation
If you charge a cancellation or no-show fee, the confirmation message is the right place to mention it β once, clearly, without being heavy-handed. Something like:
"Please note: cancellations within 24 hours may incur a 50% service fee."
Don't bury it. Clients who see the policy upfront are more likely to respect it, and you have a record of them receiving the information if you ever need to follow up. This one line tends to filter out the serial no-showers before they cost you a slot.
5. Follow up after a no-show β don't just write them off
When someone doesn't show, send one final message within an hour:
"Hi [Name], we missed you today! If something came up, no worries at all β we'd love to rebook you when you're ready. Just reply here and we'll get you sorted."
This does two things. First, it occasionally recovers the client who genuinely had an emergency and feels terrible about it. Second, it keeps the door open without confrontation. A client who ghosts and hears nothing often never comes back. A client who ghosts and gets a kind message frequently does.
You shouldn't have to do this manually
Writing and sending five messages per client, for every appointment, every day, is the kind of repetitive work that eats your mornings. The sequence above works β but only if it actually gets sent.
That's exactly the kind of task you can hand off to a Sidekyk. Tell your AI assistant on WhatsApp which clients are booked and when, and it handles the whole sequence for you β confirmations, reminders, follow-ups β while you focus on the chair. Head to sidekyk.ai to see how it works, or just send a WhatsApp and let your Sidekyk take it from here.
