1. Send the reminder at the right time (not too early, not too late)

A reminder sent 48 hours out feels abstract. One sent the night before gets forgotten by morning. The sweet spot is same-day, between 8 and 10 a.m. — early enough for the client to plan their day around the appointment, late enough that it's still fresh when the time comes.

Most clients will reply within minutes. The ones who don't reply are your signal to follow up with a quick call — which is much easier to do at 10 a.m. than when they've already missed the appointment.

4. Set up a cancellation-to-rebooking flow

When a client does cancel — even with notice — your next move matters. Reply immediately with two or three alternative times and ask them to pick one. Don't leave the conversation open-ended.

5. Keep a running waitlist and fill gaps fast
