1. Send a morning reminder before 10 a.m.
Most people plan their day in the first hour after waking up. If your reminder lands before 10 a.m., the client has time to either confirm, reschedule, or flag a conflict β before their day gets chaotic. A reminder that arrives at 4 p.m. for a 5 p.m. appointment is too late to recover the slot.

2. Ask for a one-word confirmation

This midday check-in also gives you a realistic picture of your afternoon. If someone's clearly not going to show, you'd rather know at 12 p.m. than at 2:55 p.m.
4. Include exactly what they need to walk in the door
Confusion quietly kills appointments. Clients forget where you're located, can't find parking, or don't know whether to come with dry hair. Put the critical details right in the reminder message:
- Your exact address (or a Google Maps link)
- Any prep instructions (e.g., "Come with dry hair for your blowout")
- Who they're seeing ("You're with Priya today")
- How long to expect ("Allow about 90 minutes")
When clients know exactly what to expect, the mental friction of showing up drops β and so do your no-shows.
5. Attach a soft cancellation policy reminder
You don't need to lead with penalties, but a single line at the bottom of your reminder does real work: "We have a 2-hour cancellation policy β just give us a heads-up if you need to reschedule and we'll sort you out." It's friendly, not threatening, and it signals that your time has value.
Clients who know there's a policy are more likely to communicate rather than simply vanish. And when they do communicate, you get that precious window to fill the slot.
