1. Build a "first call" list right now
Not all clients are equal when it comes to last-minute bookings. Some love a deal. Some work nearby and can come in on short notice. Some have been waiting for a specific stylist to open up.
Create a WhatsApp group or a saved broadcast list of 15–20 of these clients — call it something like "Same-Day Crew" or "Last-Minute VIPs." You only need to build it once. When a slot opens up, this is the first message you send, before you do anything else.
2. Write your fill-in message template in advance
The reason last-minute outreach takes so long is that you're writing a new message from scratch every time while already stressed. Fix that now, not later.
Draft one short, friendly template and save it somewhere easy to copy — your notes app works fine. Something like:
"Hey [Name]! We just had a cancellation open up today at [time] with [stylist]. Want to grab it? Reply YES and I'll confirm you right away. 🙌"
Keep it short. Give them one clear action. The faster they can say yes, the faster you're booked.
3. Offer a small incentive — but only if you need to
A time-sensitive nudge can move fence-sitters off the fence. A modest discount, a free treatment add-on, or a complimentary deep-condition can be the thing that turns a "maybe" into a "yes, see you at noon."

4. Post to your WhatsApp Status

"Last-minute opening today at 12pm! DM me to grab it. ⚡"

5. Follow up once, then move on
If you haven't heard back within 20–30 minutes, send one follow-up to your list or post a second Status update with a countdown feel ("2 hours left to grab this slot!"). After that, let it go.
Chasing people beyond one follow-up wastes your time and trains clients to expect desperation discounts. If the slot doesn't fill, use it for a team training moment, a model call, or a content shoot. Not every gap needs to be plugged — but most of them can be, fast, if your system is ready.
