This isn't a loyalty problem. It's a timing problem. Most salons lose clients not because of bad service, but because they disappear right at the moment a client's hair starts to feel off again. The fix is simpler than you think, and it starts with a single text.

1. Understand why week eight is the danger zone

Hair grows roughly half an inch per month. For most colour and cut clients, that means roots are showing, ends are splitting, and the style is losing its shape right around the 6–8 week mark. That's also when life gets busy and booking feels like one more errand.

If you're not in front of them at that exact moment, someone else's Instagram ad is. The client doesn't leave you on purpose — you just weren't there when the itch hit.

2. Send a rebooking text at day 42 — not day 56

Most salon owners who do send reminders wait too long. A text at week eight lands when the client is already frustrated with their hair and possibly already booked elsewhere. You want to catch them at week six, before the frustration peaks and while the memory of your work is still fresh.

Day 42 is your sweet spot. Keep the message short and warm — something like:

"Hey [Name]! It's been 6 weeks since your last visit — your colour is probably just starting to grow out. Want to grab your usual spot before the weekend fills up? Just reply here and I'll sort it."

That's it. No discount needed. No long email. Just a human nudge at the right moment.

3. Make replying the only step they have to take

The biggest friction point in rebooking isn't price or loyalty — it's effort. If your reminder sends them to a booking website where they have to log in, pick a service, find a time, and enter a card number, a chunk of them will drop off before they finish.

Your text should let them reply directly to book. If you're handling it manually, that's fine — just be ready to respond fast. The goal is a two-message exchange:

  • Client: "Yes, Saturday morning works!"
  • You: "Done — Saturday 10am with [Stylist]. See you then 🙌"

That's a rebook. No portal required.

4. Personalise by service, not just by name

A lash client and a balayage client have very different timelines. A brow wax client might need to hear from you at week three, not week six. Segment your outreach by the service they last had so the timing actually makes sense to them.

When a client gets a message that says "your balayage is probably about ready for a toner refresh" rather than a generic "we miss you!" — it lands differently. It shows you know their hair, not just their name.

5. Follow up once more at week ten if they didn't bite

If your day-42 text gets no response, send one more message around day 70. Keep it even shorter:

"Still got a spot for you if you need a refresh — just say the word 😊"

That's your last nudge. Two touches is enough. Anything more tips into pestering, and you don't want that association with your name. If they don't reply after two messages, take them off the active reminder list and revisit in three months with a seasonal check-in.
