Turn slow Tuesdays into fully booked days
A last-minute fill list is the simplest way to kill dead time on your salon floor.
Tuesday at 11am. Two chairs empty. A stylist scrolling their phone. You've already paid to open the salon — that idle time is pure lost revenue you'll never get back.
The fix isn't a complicated promotion or a paid ad. It's a fill list: a short roster of clients who've told you they'll take last-minute slots at short notice. Here's how to build one and actually use it to fill your slow days.
1. Identify your repeat clients who have flexible schedules
Start by scrolling back through your bookings for the last three months. Look for clients who:
- Book frequently (every 4–6 weeks)
- Have rescheduled at short notice before — they're clearly flexible
- Are retired, work from home, or work non-traditional hours
These people are your fill-list gold. You don't need 50 names. Ten to fifteen reliable clients is enough to cover most slow days.
2. Ask permission before you add anyone
A fill list only works if people actually want to be on it. The next time these clients are in the chair, mention it casually:
"Hey, we sometimes get last-minute gaps on Tuesdays and Wednesdays. Would you ever want a quick heads-up if something opens up — sometimes with a small discount?"
Most flexible clients will say yes immediately. You're not spamming them; you're offering them a perk. Save their response in your phone or booking notes so you remember who's opted in.
3. Create a simple message template you can send in under two minutes
When a gap opens up, speed matters. If filling it takes you 20 minutes of back-and-forth, you'll stop doing it. Write one short message now and save it somewhere easy to find:
"Hey [Name]! We just had a cancellation [today/tomorrow] at [time]. Fancy grabbing the slot? Reply YES and it's yours — happy to do [service] for [price/discount]. First come, first served!"
Swap in the details, send to three to five people on your list, and the first reply gets the booking. Keep it that simple.
4. Time your outreach right
Sending a "we have a slot at 2pm" message at 1:45pm won't work. Give people at least two to three hours' notice — ideally more. The sweet spot:
- Same-day slots: Message by 9am for afternoon openings; message the night before for morning openings.
- Next-day slots: Message the afternoon before, when people are wrapping up their day and checking their phones.
A Monday-evening message for Tuesday slots tends to get strong responses. People have just looked at their week and realised they have a quieter day ahead.
5. Track what works and refine your list over time
After a month, look at who actually responded and booked versus who never replied. Remove the non-responders and add new opt-ins. A living list of eight engaged clients beats a stale list of thirty who ignore you.
Also note which services fill fastest. Treatments that are quick, high-margin, and easy to slot in — tints, glosses, express blow-dries — make the best last-minute offers. If a full colour correction is hard to fill at short notice, that's fine; save the fill list for services that work.
A couple of things worth tracking in a simple note or spreadsheet:
- Date of outreach
- Number of messages sent
- Who booked
- Revenue recovered
Even rough numbers will show you this is worth doing consistently.
Building and running a fill list isn't complicated, but it does take consistent follow-through — and that's exactly the kind of operational task you can hand off. With a Sidekyk on WhatsApp, you can delegate the whole workflow: drafting your fill-list messages, timing outreach, following up with replies, and keeping your client list current. Instead of doing it yourself between clients, you send a quick message and it gets handled. Visit sidekyk.ai to see how it works.
