What to say when a client ghosts their rebook reminder
Silence after a reminder doesn't mean no — here's how to follow up without feeling awkward.
You sent the rebook reminder. They read it. Crickets.
It happens in every salon, every week. A client who loved their last appointment just… disappears. The silence feels personal, but most of the time it isn't — life got busy, they meant to reply, and now enough time has passed that they feel awkward booking. A well-timed, low-pressure follow-up can bring them right back. Here's exactly what to say.
1. Wait the right amount of time before following up
Sending a second message the next day feels pushy. Waiting three months means they've probably already booked somewhere else. The sweet spot is 5–7 days after your first reminder goes unanswered.
This gap gives the client enough breathing room that a second message feels like genuine care rather than a sales chase. If their appointment was colour or a treatment that has a clear "refresh window" (say, 6–8 weeks), you can also tie your follow-up to that timing: "Your colour is probably ready for a refresh right about now."
2. Keep the message short and warm — not salesy
Long messages get skimmed and ignored. Your follow-up should read like a text from a friend who happens to do hair, not a promotional blast. Try something like:
"Hey [Name] 👋 Just checking in — did my last message get lost? Would love to get you booked in before my slots fill up. No pressure at all, just let me know! 😊"
Notice what that message does:
- Gives them a face-saving out ("did it get lost?")
- Creates mild urgency without a fake countdown timer
- Ends with zero pressure so replying feels easy
One sentence of genuine warmth beats three paragraphs of offers every time.
3. Reference something specific from their last visit
Generic reminders are easy to ignore. Personal ones aren't. If you remember a detail from their appointment — the shade you mixed, a life event they mentioned, something they wanted to try next time — put it in the message.
"Hey [Name]! Thinking about you — we talked about going a little lighter at your next visit. I've got a few gaps coming up if you want to lock one in? 🌿"
This works because it proves you actually remember them. Clients rebook with people who make them feel like more than a transaction. A single specific detail does that job instantly.
4. Offer a soft call to action, not a hard sell
"Book now" buttons and payment links in a follow-up message can feel aggressive when someone hasn't even replied yet. Instead, invite a conversation:
- "Want me to send you a few times that work?"
- "Are you thinking this month or next?"
- "Just reply with a day that suits you and I'll check the diary."
These micro-questions are much easier to answer than an open-ended "let me know when you want to book." They move the conversation forward without demanding commitment right away.
5. Know when to let it go (for now)
If you've sent two messages and still heard nothing, send one final short note — then stop. Something like:
"No worries at all if timing isn't right! I'll keep an eye out for you whenever you're ready. 😊"
Then archive the thread and move on. Chasing beyond this point damages the relationship and your reputation. The goal is to stay warm in their memory so that when they are ready — and most of them will be — you're the first person they think of. You can always loop back in 6–8 weeks with a seasonal promotion or a "we miss you" message to reopen the door naturally.
Writing and sending all of these messages manually — for every ghosted client, every week — is exactly the kind of task that eats hours you don't have. A Sidekyk can handle it for you via WhatsApp: tracking who hasn't replied, sending the right follow-up at the right time, and keeping the tone warm and on-brand without you lifting a finger. Tell your Sidekyk how you want clients to feel, and it'll take care of the rest. Try it at sidekyk.ai.
