1. Send a "quick check-in" within 48 hours

Don't wait a week. The moment enthusiasm starts to cool, your quote feels like a commitment rather than an opportunity. Send a short, human message within two days of the quote — something like:

"Hey [Name] — just wanted to make sure the quote landed okay and nothing got lost in spam. Happy to jump on a quick call if any questions came up."

"I only have two spots left this month!" lands with a thud when it isn't true and clients can sense it. Real urgency works much better:

  • If you genuinely have another project starting soon, say so honestly: "I wanted to give you first shot at my next availability window, which fills up mid-month."
  • If the client has a launch deadline, reflect it back: "If you want to go live before Q4, we'd need to kick off by the 20th."

Deadline-based urgency tied to their goals keeps the conversation about them, not about you.

5. Know when to close the loop (and do it graciously)

After two or three thoughtful follow-ups over seven to ten days, send a final message that closes the loop cleanly:

"No worries at all if the timing isn't right — projects shift. I'll archive this for now, but feel free to reach out whenever it makes sense to revisit. Good luck with the launch!"
