1. Reply within five minutes — every single time
The data on this is brutal: a lead who doesn't hear back within five minutes is 10x less likely to convert than one who gets an immediate response. By the time you notice the form submission an hour later, they've already moved on to a competitor or just lost the urge.
Set up an auto-reply that does more than say "thanks, we'll be in touch." Confirm their specific request, give them a direct calendar link, and tell them exactly what the demo will cover. Make it easy to say yes right now, not later.
2. Send a three-touch follow-up sequence — not a single email
Most founders send one follow-up, get no reply, and quietly give up. But most booked demos happen on the second or third touch. A simple sequence looks like this:

4. Give them an out — and a reason to come back
Ghosting often happens because something shifted on their end: budget froze, their boss changed priorities, they got pulled into a fire. They feel awkward re-engaging because they went quiet on you.
Make it easy. A message like "No worries if the timing isn't right — I'll check back in a month. Anything useful I can send you in the meantime?" does two things: it removes guilt, and it keeps the door open. 5. Track drop-off points and fix the one that leaks the most
Not all ghosting happens for the same reason. Some leads go quiet right after the first reply — your response probably felt generic or slow. Others go quiet after they see the calendar and don't book — maybe your available slots don't match their timezone, or the booking flow has too many steps.
