Stop losing leads who ghost you after the first demo
Five tactics to keep prospects warm and moving after that first call — without being annoying about it.
You did a great demo. They said "this looks really promising." Then — nothing. No reply to your follow-up email, no response to your WhatsApp message, no show for the next call. The ghost.
It's one of the most common and most expensive problems in tech sales. The lead wasn't necessarily uninterested — they got busy, got distracted, or just needed a nudge you never sent at the right moment. Here's how to fix that.
1. Send a recap within 30 minutes of the call ending
The window right after a demo is the warmest your prospect will ever be. Don't waste it with a generic "great chatting with you!" email 24 hours later.
Send a short, specific recap within 30 minutes — what you showed, the two or three problems it solves for them specifically, and a single clear next step. No attachments, no five-paragraph wall of text. Three bullet points and one question works better than a polished PDF they'll never open.
2. Create a follow-up sequence with real deadlines
Most founders send one follow-up, get no reply, and give up. Your prospect needs more than one touch — but each message has to earn its place.
Map out a five-touch sequence across 10–14 days:
- Day 1: Recap email (see above)
- Day 3: One useful resource tied to their specific pain point
- Day 6: A short case study or proof point — a customer like them
- Day 9: A low-friction check-in ("still worth a conversation?")
- Day 14: A breakup message ("closing your file — happy to reconnect whenever")
The breakup message sounds counterintuitive but it works. It creates urgency without pressure, and you'll be surprised how many people resurface at that point.
3. Personalise every touch — even slightly
Generic follow-ups get deleted. If you mentioned during the demo that they're launching a new product line in Q3, your day-6 message should reference that. One sentence of personalisation makes the whole thing feel human.
Keep a simple note from each call — two or three facts about their situation. That's your personalisation fuel. You don't need a CRM to do this; a shared doc or even a WhatsApp voice note to yourself right after the call works fine.
4. Use multiple channels, not just email
If you only follow up by email you're competing with 200 other unread messages. Try mixing it up:
- WhatsApp or SMS for short, warm check-ins ("Hey [name], just wanted to make sure the recap landed okay")
- LinkedIn for a quick comment on something they posted — keeps you visible without being pushy
- A short Loom video instead of a text email — 90 seconds, recorded on your phone, recapping one thing they asked about
People respond to different channels. Using two or three dramatically improves your reply rate without increasing how often you're reaching out.
5. Fix the handoff from "demo done" to "next step booked"
The single biggest reason leads ghost is that the next step wasn't concrete enough. "I'll send you some info and we can chat soon" is not a next step — it's an invitation to drift.
Before you end every demo call, agree on a specific date and time for the next conversation. Put it in the calendar before you hang up. If they won't commit, ask what would need to be true for them to be ready to move forward — that answer tells you either what's blocking them or that they were never that serious.
Keeping leads warm after a demo is repetitive, timing-sensitive work — exactly the kind of thing that falls through the cracks when you're also trying to build a product and run a team. A Sidekyk can handle this for you via WhatsApp: draft your recap messages, send follow-up sequences on schedule, flag when a lead goes quiet, and remind you when it's time to send that breakup note. Message us at sidekyk.ai and tell your Sidekyk what your follow-up looks like today — we'll help you build something that actually converts.
