Why your AI agency keeps getting ghosted after discovery

The discovery call went great — so why is the prospect not responding? Here's what's actually going wrong.

Why your AI agency keeps getting ghosted after discovery

The discovery call went great — so why is the prospect not responding? Here's what's actually going wrong.

You had a great call. They were nodding along, asking good questions, maybe even dropping hints about budget. Then you sent the follow-up email — and silence. A week later, still nothing. You follow up again. Nothing.

Getting ghosted after discovery is one of the most demoralizing parts of running an AI agency. The frustrating truth is that the call itself usually isn't the problem. What happens after the call is where deals quietly die. Here's how to fix it.

1. You're leaving too much ambiguity at the end of the call

Most discovery calls end with a vague "I'll send over some thoughts and we can go from there." That's a ghost waiting to happen. Prospects leave the call excited but uncommitted — and without a clear next step locked in, real life fills the gap.

Before you hang up, nail down a specific date and time for the next conversation. Not "sometime next week." Thursday at 2 p.m. Get it on the calendar while they're still on the call. If they won't commit to a next meeting on the spot, that's critical information — it tells you the deal isn't as warm as the call felt.

2. Your follow-up is a wall of text they'll deal with "later"

The follow-up email you write after a discovery call is probably too long. You've summarized everything you discussed, listed your services, attached a deck, and maybe included a proposal. The prospect opens it, feels slightly overwhelmed, and closes it — fully intending to read it properly when they have time. They never do.

Keep your first follow-up to three short paragraphs max: what you heard them say their problem is, one or two sentences on how you'd approach it, and a single clear call to action. Save the full proposal for after they've re-engaged. Make it easy to reply, not easy to defer.

3. You're not following up often enough — or in the right places

One follow-up email three days after the call isn't a follow-up sequence. Most closed deals require five or more touchpoints, and most agencies stop at two. The prospect isn't ignoring you because they hate you — they're busy and your email slipped.

Build a simple multi-touch cadence:

  • Day 1: Short recap email with a clear CTA
  • Day 3: A short value-add (a relevant example, a quick insight about their specific problem)
  • Day 7: A direct, no-pressure check-in — one or two sentences
  • Day 14: A "closing the loop" message that gives them an easy out if they've moved on

Also consider where you're reaching out. If they're not email people, a WhatsApp message or LinkedIn DM might cut through far better than another email headed to a cluttered inbox.

4. Your proposal doesn't speak their language

If you did send a proposal and it's full of terms like "AI-powered automation workflows" and "end-to-end model deployment," you've lost them. Small business owners and non-technical buyers don't buy technology — they buy outcomes. They want to know what changes in their day-to-day, how much time or money they get back, and what the first 30 days look like.

Rewrite your proposals so the first page answers: What will be different for this business six months from now? Lead with that. Put the technical details in an appendix. A prospect who understands exactly what they're buying is one who actually replies.

5. You're not giving them a low-risk way to say yes

A full agency engagement is a big commitment for a small business. If the only option you're presenting is a multi-month retainer, a lot of genuinely interested prospects will freeze up — not because they don't want to work with you, but because the risk feels too high.

Offer a paid discovery sprint, a small pilot project, or a one-time audit as a first step. Price it so it's easy to say yes without a budget conversation. Once they've worked with you and seen results, the larger engagement is a much easier conversation. A small yes now is worth far more than a big maybe that goes cold.

Following up with prospects, rewriting proposals in plain language, and keeping a pipeline of leads warm is exactly the kind of repetitive, time-consuming work that eats into your week. A Sidekyk can handle all of it for you — drafting follow-up messages, reminding you when to reach out, and keeping conversations moving — all through WhatsApp. If chasing cold prospects is draining your time, try Sidekyk at sidekyk.ai and put that work on autopilot.
