The problem isn't your pitch — it's the gap between the call and the signed document. Every hour that passes, your prospect cools off and their inbox fills up. Here's how to close that gap fast.
1. Send a one-page scope summary within the hour
Don't wait until you have a polished proposal deck. The moment the call ends, fire off a short summary — five to eight bullet points — that mirrors back exactly what they told you their problem is, what you'd build to solve it, and a rough timeline. Do this while you're still top of mind and while they still remember what they said.
This isn't the proposal. It's a "here's what I heard" note that does two things: it shows you listened, and it gives them something concrete to share with whoever else needs to sign off. A Google Doc link or even a well-formatted WhatsApp message works fine.
2. Anchor the price before the proposal lands
Prospects who see a number for the first time on a proposal PDF get sticker shock in private, with no one around to handle it. Anchor the investment range out loud on the call itself — or at the very latest, in that same-day summary note.
Say something like: "Projects like this typically run between $X and $Y depending on scope — does that ballpark work for you before I put the full proposal together?" 3. Build the proposal around their words, not your features
Pull up your call notes (or your call recording) and find the exact phrases your prospect used. Did they say "our team wastes half the day on intake"? Did they say "I need to show my board a quick win in 90 days"? Those phrases go into your proposal — verbatim, or very close to it.
People sign documents that feel written for them. A proposal that leads with their language — their pain, their timeline, their definition of success — converts at a much higher rate than a polished template that talks about your methodology and your team's credentials. Credentials go at the bottom. Their problem goes at the top.
4. Give them one clear decision, not a menu
Three-tier pricing packages feel smart in a SaaS context. On a custom AI project proposal, they usually stall deals. The prospect now has to make three decisions instead of one, and "let me think about which option" is just a polite way to delay.
Instead, propose the one scope you actually believe is right for them. Add a short "out of scope" section so they know what's not included — this protects you and actually builds confidence. If you want to offer flexibility, include a single optional add-on, not a full second or third tier. One decision closes faster.
5. Set the next step before you send the document
Never end a proposal with "let me know if you have questions." End it with a specific, already-scheduled call. Before you hit send on the proposal, send a separate message — WhatsApp, email, text — that says: "I'm sending the proposal now. I've also blocked Tuesday at 2pm for a 20-minute review call. Does that work?"
