You ran a great demo. The prospect nodded along, asked good questions, maybe even said "this is exactly what we need." Then the call ended — and so did your momentum. Two days later, they've gone cold and you're chasing silence.
This is one of the most common (and most fixable) leaks in a small AI business. The demo itself isn't the problem. The gap between the demo and the follow-up is where leads die. Here's how to close it.
1. Send a recap within 30 minutes of the call ending
The window right after a demo is when your prospect is most engaged. They just saw your product. It's fresh. A follow-up email or WhatsApp message sent within 30 minutes rides that wave — one sent the next morning does not.
Your recap doesn't need to be long. Three things: a one-line summary of their specific pain, two or three things you showed that address it, and a single clear next step. That's it. No fluff, no brochure language. Make it feel like a note from a person, not a template from a CRM.
2. Personalise the follow-up to what they actually said
Generic follow-ups get ignored. If your prospect mentioned they were struggling with customer onboarding, your follow-up should say "onboarding" — not "operational efficiency." People can smell a copy-paste message, and it signals that you weren't really listening.
Keep a simple note open during every demo. Jot down two or three specific things they said. Drop those directly into your follow-up. It takes an extra 90 seconds and it's the difference between a reply and a ghost.
3. Set a follow-up sequence, not a single message
Most people send one follow-up, get no reply, and quietly give up. But research across B2B sales consistently shows it takes five to eight touches before a prospect makes a decision. One message isn't a follow-up — it's a coin flip.
Build a simple sequence:
- Day 0 (30 min after demo): Recap + next step
- Day 2: A short resource — a case study, a video, a relevant article
- Day 5: A light check-in: "Any questions come up since we spoke?"
- Day 10: A gentle nudge with a soft deadline or limited availability
- Day 21: A breakup message — honest, no pressure, leaves the door open
You don't need fancy software for this. A shared doc with dates and a reminder works. What matters is having a system at all.
4. Make the next step stupidly easy to say yes to
A vague next step is a dead end. "Let me know if you want to move forward" puts all the work on them. Instead, propose something specific and low-friction: "I've got 20 minutes free Thursday at 2pm or Friday at 10am — does either work?"
Even better, give them something small and valuable they can act on immediately — a free audit, a short trial, a sample output from your AI tool built around their use case. Give them a taste of the outcome before they've committed to anything. That's far more persuasive than another sales call.
5. Know when to let go (and how to do it well)
Not every lead will convert, and chasing cold prospects too long wastes time you could spend on warm ones. After your sequence runs its course with no response, send one final honest message: something like "I'll stop nudging you — but if things change, here's where to find me." Then move on.
This matters more than it sounds. A graceful exit keeps the relationship intact. Plenty of deals have closed six months after a "no" simply because the founder stayed memorable and pressure-free. The leads you lose politely often come back. The ones you annoy rarely do.
