Friday at 6 p.m. Your floor is slammed, your phone is ringing, and three Instagram DMs are sitting unread asking about Saturday night. By the time anyone gets back to those people, they've already booked somewhere else. You lost the cover, and you'll never even know you lost it.

This is one of the most common — and most fixable — revenue leaks in restaurants. Here's how to close the gap.

1. Set a hard response-time standard for every channel

Most reservation requests go cold within 30 minutes. A customer who DMs you on Instagram at 9 p.m. on a Wednesday isn't going to wait until Thursday morning. Decide right now what your acceptable response window is — ideally under 15 minutes during business hours — and then build a system around hitting it, not hoping your team remembers.

Write it down. Post it in your kitchen or manager office. Make it a real standard, not a vague goal.

2. Consolidate where reservation requests come in

The reason DMs fall through the cracks is that requests arrive in five different places: Instagram, Facebook, WhatsApp, a contact form, and a phone voicemail. No one person owns all of them, so collectively no one does.

Pick your two primary reservation channels — most restaurants do well with WhatsApp and phone — and actively redirect everything else there. Update your Instagram bio, your Google Business profile, and your Facebook page to say: "To book a table, message us on WhatsApp at [number]." Fewer inboxes means fewer things to miss.

3. Use a saved-response system for common questions

A huge chunk of the delay isn't malicious — your staff is just slow because they're writing the same thing from scratch every time. "Do you take reservations for groups over 8?" "Is the patio open?" "What's the earliest seating on Saturday?"

Build a set of saved replies for every common reservation question and make sure every person who touches your DMs has them. On WhatsApp Business, these are called Quick Replies and they take about 10 minutes to set up. On Instagram, you can save message templates in the app. This alone can cut your average response time in half.

4. Set up an auto-reply for after-hours requests

People browse restaurants late at night. They'll DM you at 11 p.m. on a Tuesday asking about Saturday. If they get silence, they move on. If they get an immediate reply — even an automated one — they feel acknowledged and they wait.

A good after-hours auto-reply does three things:

  • Confirms you got the message ("Thanks for reaching out to [Restaurant Name]!")
  • Sets a clear expectation ("We'll confirm your reservation by 10 a.m. tomorrow.")
  • Gives them something useful in the meantime ("Check our menu here: [link]")

That's it. No fancy chatbot needed. Just a simple message that buys you time and keeps the lead warm.

5. Assign one person to own reservations during peak inquiry windows

The peak window for weekend reservation requests is Thursday 5–9 p.m. and Friday 10 a.m.–2 p.m. That's when people are finalizing their weekend plans. Someone on your team — a manager, a host, a front-of-house lead — should have "monitor and respond to reservation messages" as an explicit responsibility during those windows, not a background task they do when they remember.

Rotate it if you need to. But make sure there's always a name attached to the job. "Everyone is responsible" means no one is.
