4. Follow up once — and only once

If you get no response after an hour, send a single follow-up to anyone who hasn't replied:

Hey — just checking if you saw my earlier message about tonight's table. Still available for another hour if you're keen!

One follow-up is friendly. Two is pressure. If it's still empty after that, move on to walk-ins or open up the slot on your booking platform with a "last-minute availability" label.

5. Close the loop and keep your list warm

When a guest takes the slot, reply immediately to confirm — don't make them wonder. And after service, send a quick thank-you:

That one sentence turns a one-off rescue into a loyal relationship. Next time you have a cancellation, this person is even more likely to say yes — and they'll feel good about it.
